Every step, both sides.

You set the rules, the words and the hours. Nothing goes out to past clients until you approve it.

Past clients

  1. Your client list

A spreadsheet, or an export from the app you use.

  2. Who’s due

Your follow-up rules, per service and season.

  3. A draft for each

In your business’s name, from your own number.

  4. You approve

    Nothing sends before you do.

  5. Sent

Default: 10 am–6 pm in your business’s time zone.

  6. Replies

Yes becomes a request for your team.

    STOP is never texted again.

    No reply, no chasing.

Each month, the newly due come back to you for approval, with an email two days before.

  1. Comes in

Text, web form, email or a phone call.

  2. First reply

Promptly, by text when there’s a phone, by email when there isn’t.

  3. Who handles it

Your team. A named person and a call-back deadline, with follow-ups until the lead replies.

Or the receptionist, once it’s enabled for you, in the hours you choose: all day, overnight, outside staffed hours or custom.

  4. How it ends

Booked in your calendar for supported services. New callers book on the call, then get a text. Callers already in the connected calendar get a text back.

Handed to staff for quotes, emergencies, complaints, unclear requests or anyone asking for a person. The receptionist stops there.

Nobody answered yet? A text that day, a call task the next, an email on day three. All stop when the lead replies.

You set the words, hours and who calls back. The Playbook screen, captured from our synthetic test business. Each business is reviewed and switched on separately; we confirm the booking connection before activation.
The owner desk’s Playbook settings: the first message a new lead gets by text or email, who calls back by when, and the follow-ups while nobody has answered.
